1Who we are

We are the data controller for the personal information described in this notice. You can contact us about anything in it at ScopeMediaStudios@gmail.com.

2What we collect

When you make a booking: your name, email address, telephone number, and the details of the booking itself — which space, which date and time, and anything you tell us about the production.

When you email or call us with an enquiry: your name, your contact details, and whatever you choose to include in your message.

Payment information is handled by the payment provider used at checkout. Scope Media Studios does not see or store your card number.

We do not ask for special category data, and you should not send it to us. If you need to tell us something sensitive in order to plan access or production requirements, tell us only what is necessary.

3Why we hold it, and our lawful basis

To take and fulfil a booking — lawful basis: performance of a contract with you, or taking steps at your request before entering into a contract.

To answer enquiries that do not become bookings — lawful basis: our legitimate interests in responding to people who contact us about hiring the studio.

To keep records required for tax and accounting — lawful basis: compliance with a legal obligation.

4How your booking is processed

Bookings are taken through Acuity Scheduling (Squarespace Scheduling), which acts as a processor on our behalf. The booking details you enter are stored in that system so that we can see and manage your booking.

Enquiry emails sent to ScopeMediaStudios@gmail.com are held in our email account with our email provider.

These providers process your information under their own security and data-protection obligations, and only to provide the service to us.

5Who else sees it

Our booking platform (Acuity Scheduling / Squarespace Scheduling), our email provider, our payment provider, and — where relevant to a legal or accounting obligation — our accountant.

We do not sell your personal information, we do not share it for advertising, and we do not pass it to third parties for their own marketing.

We may disclose information where we are legally required to do so.

6This website

This site does not run advertising or cross-site tracking. Booking is handled by the Acuity Scheduling platform, which sets its own cookies when you use it — see Squarespace's privacy documentation for how it uses them.

Our hosting provider keeps standard server logs for security and reliability.

7How long we keep it

We keep personal information for no longer than is necessary for the purpose it was collected for.

Booking and payment records are kept for as long as required for tax and accounting purposes. Enquiries that do not result in a booking are not kept indefinitely.

We have not fixed a single published retention period for every category of information. If you want to know how long we hold something specific, or you want it deleted sooner, email us and we will tell you and act on it.

8Your rights

Under UK GDPR you have the right to access the personal information we hold about you; to have inaccurate information corrected; to have information erased in certain circumstances; to restrict or object to our processing; and to receive certain information in a portable form.

Where we rely on legitimate interests, you can object to that processing and we will stop unless we have compelling grounds to continue.

9Complaints

If you are unhappy with how we have handled your personal information, please tell us first — it is usually the fastest way to fix it.

You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection, at ico.org.uk.

10Changes to this notice

We will update this notice if how we handle information changes. The date at the top shows when it was last revised.
